Supplier Due Diligence Questions From China Buyers

What is supplier due diligence?
It means checking that a supplier is really who they say they are: a registered company, a real factory, valid certificates, no hidden legal trouble. The check uses official records, factory visits and the organizations that issued the certificates — not what the supplier tells you.
When should I check a Chinese supplier?
The best time is before you order a sample. The latest safe moment is before you pay a deposit. A basic check costs under 100 USD — far less than a lost deposit.
Is it only needed before the first order?
No. Factories change owners, managers, machines and subcontractors. Checking an existing supplier once a year helps you spot problems while everything still looks fine.
Supplier Check vs. Factory Visit?
A Supplier Check is done from the desk: official records, legal history, owners and export data. A Factory Visit sends an auditor to the actual building to see the machines, workers and documents in person.
Factory Visit vs. Supplier Audit?
A Factory Visit looks at what you can see: the site, equipment and setup. A Supplier Audit goes further — private talks with sales, quality and production managers, a review of quality records, and a final performance score.
Can you tell if a company is a factory or a trader?
Yes. We compare the business scope, registered capital, tax records and export data, then confirm on site whether products are actually made at that address or bought from someone else.
Can JS Sourcing check supplier and product certificates?
Yes. We verify supplier, management-system and product certificates and related compliance documents, including ISO certificates, CE certificates and declarations, UL and ETL listings, FDA records, FSC certificates, and test reports issued by SGS and other laboratories. More precisely, we verify whether the certificates are real and valid. We also check if the certificate holder, validity period, product or industrial scope, are consistent with your supplier’s information. The verification scope depends on the document type and the information available at the type of the check. For more information, contact us via email.
Does a valid certificate prove the product made in China is compliant?
Not always. It depends which certificate you task JS Sourcing to review. For example, management certificates are not direct proof that the product in itself is compliant. A UL certifiate however is usually considered proof that the electric product, or component complies with regulations. Also, full compliance for your market can also involve a product testing report (usually required by the certifying Notified Body), correct labelling and extra documents. Make sure that you provide enough information (product category, destination market, or list of compliance documents required) to our quality representatives so they can adequately service you.
Can I book an audit for a supplier I already use?
Yes, and many clients do. Common reasons: late deliveries, more defects than before, slower replies — or simply a yearly review of a key supplier.
How often should an active supplier be reviewed?
Once a year works well for most buyers. Review more often if order volumes grow fast, if you are paying for new tooling, or if you notice changes in quality or communication.
Is due diligence the same as quality inspection?
No. Due diligence checks the company and the factory. Quality inspection checks the actual goods in your order. Most importers need the first before choosing a supplier, and the second before every shipment.
What if the supplier refuses documents or a visit?
A refusal is an answer too. We tell you exactly what was asked and what was declined — and if you want, we help you find alternative suppliers from our sourcing network.
